The Brief
One shared space, instead of calls and emails
Aviapros was brought to me by our project manager, who had previously worked as a ground handler himself. The
goal was to design a new tool from scratch that would let ground handlers, aircraft operators and admin teams stay
aligned on flight status and upcoming requests, without relying on phone calls and email threads to coordinate.
Before Aviapros, every request, from scheduling a refuel to arranging cleaning services, was tracked informally
between people rather than in one shared system. That made it easy for requests to get lost, duplicated, or delayed
simply because they lived in someone's inbox rather than in a place every relevant party could see.
Research & Discovery
Learning the workflow before designing the screens
I reviewed existing tools in the FBO and ground handling space and found most offered fairly limited, narrow
functionality rather than covering the full coordination workflow. To fill that gap, I relied heavily on structured
conversations with our project manager, whose first hand experience as a handler gave me an accurate picture ofhow requests, approvals and payments actually moved between people day to day.
That process surfaced three distinct groups using the product, each with different needs from the same underlying
flight data.

Core Structure
A dashboard that adapts to the role, not the other way round
Rather than building separate tools per user type, we landed on a single dashboard built from customisable widgets. The layout stays consistent, but what appears on it changes depending on the job someone is there to do. A handler sees a calendar and their assigned tasks, an operator sees incoming requests, finance sees what is due for payment. It kept the product simple to maintain while still feeling tailored to each role.

Design Decisions
Built mobile first, out of necessity
Handlers and operators are rarely at a desk, so the interface had to hold up on a phone on the tarmac as well as it does on a desktop screen. That shaped a lot of the smaller decisions: keeping information from feeling congested, making sure nothing important could be missed at a glance, and rethinking navigation for a smaller screen. The left hand navigation on desktop moves to a bottom bar on mobile, alongside the icons people need most for day to day tasks.

Where it Stands
Not launched yet, built for real volume
Aviapros has not launched publicly yet and currently has a waiting list. It was designed around the day to day reality of a private jet handling company managing an average of around 8 flights a day, inbound and outbound combined, which shaped decisions around how much information could realistically sit on one screen without becoming noise.
